Functional Trip Schema in SAP FICO

Definition

The trip schema determines the entry dialog for employee trips.

Use

The trip schema controls the recording process within the framework of trip data entry. It determines, among other things, the entry functions that you can perform in dialog and the entry fields that are displayed.

You define the possible trip schemas in Customizing for Travel Management.

Structure

Trip number assignment

The trip schema controls whether you (external number assignment) or the system (internal number assignment) specify the trip numbers for employee trips.

Default values

Furthermore, you can set default values in the trip schema for global trip facts, that you can, however, change in dialog.

Permissibility of entry functions

The trip schema determines which additional entry functions for trip facts you can perform during the recording process.

Integration

The trip schema is closely connected with the employee trip and the trip entry type.

Functional Choose Trip Schema in SAP FICO

Use

If you want to create a new trip using the trip entry types Create trips and Travel manager, you have to specify a trip schema in the system.

Procedure for Create Trip

  1. Choose
  2. Travel Management.
  3. Choose Trip ® Create.
  4. The Enter personnel number dialog box appears.

  5. Enter the relevant personnel number.
  6. Choose Continue in the dialog box.
  7. The Choose trip schema dialog box appears.

  8. Choose a trip schema.
  9. Choose Continue in the dialog box.

Result

The screenthat was specified in Customizing for Travel Management (CBW entry in the feature Accounting Control TRVPA) appears.

Procedure for Travel Manager

  1. Choose
  2. Travel Management.
  3. Choose Trip ® Travel Manager.
  4. The Travel Manager screen appears.

  5. Enter the relevant personnel number.
  6. Choose Trip ® Create.
  7. The system displays a list of all trips that have been created for this personnel number until now. At the same time, the system displays the Create trip group box.

  8. In the Create trip group box, choose a trip schema.
  9. Choose Trip ® Create.

Result

The Trip data maintain: Receipts dialog box appears.

SAP Functional Change Trip Schema in SAP FICO

Use

To control the entry process for a trip, the system needs a trip schema. The greater the number of choices of trip schemas the employee has, the greater the danger of using the wrong trip schema. In R/3 Travel Management, however, changing trip schemas is quick and easy. You do not need to delete the trip or reenter it. Changing trip schemas can, however, lead to a partial loss of trip facts. Trip facts are always lost if the trip schemas allow different supplementary recording functions to be used.

Procedure

  1. Choose
  2. Travel Management.
  3. Choose Travel Manager.
  4. The Travel Manager screen appears.

  5. Choose the trip you wish to change.
  6. The Trip data maintain: Receipts dialog box appears.

  7. Choose Extras ® Change schema.
  8. The <Trip schema> dialog box appears.

  9. Choose the relevant trip schema.
  10. Choose Continue in the dialog box.
  11. The system informs you as to whether or not the change in trip schema will lead to a loss of data.

  12. To perform the trip schema change, confirm this information.

Result

The system has changed the trip schema in dialog and adapted the entry process to the new trip schema. The Trip data maintain: Receipts dialog box appears again. To store the trip schema change in the database, you must save the trip.
